Position Summary:
The Administrative Associate is the first point of contact for clients, visitors, and callers at the Center for Legal Immigration Assistance (CLIA). This position plays a vital role in maintaining efficient front-desk operations, providing administrative support across the organization, and ensuring a welcoming and organized environment. The ideal candidate will be bilingual, tech-savvy, and comfortable working in a fast-paced, client-centered legal nonprofit.
Key Responsibilities:
Answer and screen incoming calls, emails, text messages, faxes, and WhatsApp inquiries.
Greet and assist clients and visitors in a courteous and professional manner.
Manage the office’s front desk and maintain a clean, organized reception area and conference room.
Provide accurate information to clients and ensure all interactions follow established office protocols.
Direct calls and visitors to the appropriate staff members.
Manage intake forms and ensure client information is properly documented and routed.
Draft, send, and organize correspondence.
Develop and distribute client feedback surveys and help track responses for quality improvement.
Perform general clerical duties including data entry, filing, photocopying, and transcribing.
Assist staff with administrative tasks as needed.
Qualifications:
Bilingual (English/Spanish) required. Additional languages are a plus.
Previous experience as a receptionist, legal secretary, or administrative assistant preferred.
Experience working in a law office or nonprofit setting is highly desirable.
Excellent verbal and written communication skills.
Strong organizational and time-management skills.
Ability to work independently and as part of a team.
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Products (Gmail, Docs, Sheets), Mac / Apple-centered systems, and comfort using online platforms (WhatsApp, Google Drive, etc.).
Professional demeanor, discretion, and a commitment to maintaining client confidentiality.
Sensitivity to immigrant and refugee populations and a commitment to CLIA’s mission.
Employment is contingent upon the successful completion of a background check.
Work Environment:
This is an in-office role with regular interaction with clients, many of whom are immigrants and non-native English speakers. The receptionist will work in a shared office setting and must be comfortable handling multiple priorities and tasks simultaneously.
Salary and Benefits:
$35,000 starting salary but up to $45,000 based on experience

Paid time off: 3 personal days at the start, plus 80 hours of vacation after 3 months of employment.
